Instructions for using phones at CERN (traditional and IP Alcatel)

Instructions under below concern only legacy (analogue/digital) or IP Alcatel phones.

How to make professional calls in the Geneva area ?

Without having specific rights, from your fixed office phone, you can dial CERN numbers and numbers with the following prefixes :

  • For the nearby France region : 0+ 0033 450 xx xx xx
  • For the Geneva canton : 0 + 022 xxx xx xx
  • For the Vaud canton : 0 + 021 xxx xx xx

How to make professional calls outside the Geneva area (access rights)? 

To make a professional call outside the Geneva area from a fixed phone, two options are available:

1. Call the Automatic Switchboard System : 79999 

This number is available for users occasionally calling outside CERN for professional or personal purposes. It replaces 76111 for this service.

In order to use the service; you can call 79999 from any fixed line at CERN (including conference rooms or telephones not belonging to you), follow the instructions and your call will be transferred providing you have a valid budget code associated to your CERN identification number.

Paid members of the personnel holding a contract of three months or more can also use the 79999 to make occasional private calls (the expenses can be deducted from their monthly salary). 

Please remember the use of this service is governed by the Operational Circular Nº5 (OC5).

2. Dial the number directly from your fixed phone using a PIN code*, if you have specific access rights on your landline.

To obtain these rights please complete this EDH request form in agreement with your management.
When the request is fully approved, you will receive an e-mail confirmation with a 4 digit professional PIN code*, to use as follows:

  • For Switzerland : *4 + XXXX (PIN code)  + 0 + number
  • For any other country : *4 + XXXX (PIN code)  + 0 + foreign country code + number

Please note that now on there are 3 access right options:

  • No external access (access restricted to the CERN numbers only)
  • Local area (0033450, 022, 021)
  • Worldwide

* Please note that Telecom service can, if necessary, view your PIN code for technical support.


How to make private calls?

Paid members of the personnel holding a contract of three months or more can use the Automatic Switchboard System (79999) to make occasional private calls (the expenses can be deducted from their monthly salary). It replaces 76111 for this service.

In order to use the service, you can call 79999 from any fixed line at CERN (including conference rooms or telephones not belonging to you), follow the instructions and your call will be transferred providing you are autorised to make private calls.

Please remember the use of this service is governed by the Operational Circular Nº5 (OC5).


How to forward my calls from my fixed phone ?

You can forward calls received on your CERN fixed phone to your mobile or another CERN number.

Different options are available:

* 1 = forward all your calls towards a mobile or a fixed phone 
* 3 = forward all your calls if your fixed phone is occupied 
* 6 = forward all your calls if no answer 
* 9 = forward all your calls when you are busy or no answer 
# 1 = cancel any of the above forwarding


How to forward my calls from any other CERN phone ?

If you are not in your office and you want to forward your calls from your office to your mobile or another telephone number, you can do it remotely with another CERN fixed phone in the following way:

  • press * 7 + "your fixed phone number” followed by your "pin code" then enter the type of forwarding you wish to program (see question above) and "the number to which calls should be forwarded”.

Example, to forward all your calls from numbers 7xxxx to 16xxxx : 
*7 + 7xxxx + yyyy + *1 + 16xxxx
Cancel your forward remotely = *7 + 7xxx + yyyy + #1


How to make external calls from another phone at CERN ?

If you want to make an external call apart from your office, there are two available options:

1. Call the Automatic Switchboard System : 79999 

This number is available for users occasionally calling outside CERN for professional or personal purposes. It replaces 76111 for this service.

In order to use the service; you can call 79999 from any fixed line at CERN (including conference rooms or telephones not belonging to you), follow the instructions and your call will be transferred providing you have a valid budget code associated to your CERN identification number.

Paid members of the personnel holding a contract of three months or more can also use the 79999 to make occasional private calls (the expenses can be deducted from their monthly salary). 

Please remember the use of this service is governed by the Operational Circular Nº5 (OC5).

2. Recover your access rights from any other fixed phone at CERN (by substitution) in the following way:

* 7 
enter your fixed phone number
enter your PIN code (ex : aaaa)
* 4 
0 and the complete number (with the country code if you dial a number outside Switzerland)

For example :
* 7 + 7xxxx + aaaa + * 4 + 0 + number


How to dial special phone numbers (like 0800...) ? 

Please note that :

  • Several numbers starting with 08/09 are part of value added or premium rate numbers. Most of these value added and/or premium rate numbers are blocked in our call center.

  • Free numbers are allowed and accessible from a CERN fixed phone without any PIN code.

  • Some French numbers (such as Telerabais, short numbers 36xx, 10xx etc) are reachable only from France and cannot be called from CERN landlines. Most of those numbers have an international equivalent that can be reached from anywhere. 
  • Please open a service-now ticket if, for professional reasons, you have to call a number which is blocked from CERN landlines.

If you want to dial a special number like 0800, there are 2 available options:

  1. The first option requires you to call the Automatic Switchboard System at 79999 from a CERN fixed phone and follow the instructions.
  2. The second option requires you to call from your own fixed phone:
  • free numbers are allowed and accessible from a CERN fixed phone without any PIN code.

    for a free call to Switzerland : 0+ 0800 XXX XXX 
    for a free call to France : 0+ 0033 800 XXX XXX 

  • paying numbers used for professional purpose are unlocked and accessible from CERN fixed phones WITH a PIN code: 
    for an over taxed call to Switzerland : *4 code PIN + 0 + 08xx….
    for an over taxed call to France : *4 code PIN + 0 + 0033 8xx….

If you don't have any PIN code, please complete this EDH request form in agreement with your management.

To reach someone through this kind of numbers, you may have to use the voice frequency to send DTMF tone codes (for example : press "1" for this service, "2" for the other one).

How to proceed to use the voice frequency (DTMF) ?

Sometimes, you may have to use the voice frequency to send DTMF tone codes (for example : press "1" for this service, "2" for this other one).

To get access to this function, there are two ways. Once you get the connection with the caller:

  • dial 98
  • press the touch Voice Frequency which appears on some device (FV or FreqVocale or VF or Send VF, depending on model and language chosen). If this option does not appear on the screen, use the arrows on the menu of the phone to go down to the FV position.

The function is automatically canceled at the end of the call.


How to make a 3 people audio conference with a digital or IP Alcatel line ? 

From your office phone you can make a 3-way audio conference. Note that audio-conference calls are not allowed calling through 79999, Automatic Switchboard System):

  • If you have an analog phone (without display), such as Telli, Audience 12 or Polyspan-Shure.

When you are on line with the first person press "R" and then compose directly the number (internal or external) of the second person.

Once you are connected press "R" and then "5" to be able to dialogue 3 way.

  • If you have a digital phone (with display), such as Audience 32, Alcatel 4001, 4012, 4023, 4035.

When you are on line with the first person, compose directly the number (internal or external) of the second person .

Once you are connected press "5" to be able to dialogue 3 way.

  • If you have an IP Alcatel 4028, 4068 or an Alcatel 4029 digital phone.

When you are on line with the first person, press the button "New Call" and then compose directly the number (internal or external) of the second person .

Once you are connected press "Conference" to be able to dialogue 3 way.
