Phone numbers - management

There are three types of Skype for Business phone numbers that we provide. All of them can be managed from the Resources portal:

  1. Personal:
    1. Description​This type of Phone Number is associated with an individual primary account and it has to be considered personal. One person can have only one personal account.
    2. Life cycle: Once a user leaves CERN the phone number will be deactivated.
    3. How to use: This number can be used on a phone app (softphone) or a Skype for Business IP Phone.
    4. Phonebook: Phone number is updated automatically to phonebook.cern.ch. 
  2. Service:
    1. Description​This type of a phone number is associated with a service​ account. A service account can have only one phone number. Usually such number belongs to a "service" like CERN reception.  
    2. Life cycle: When owner of a service account leaves CERN, the phone number will be assigned to the supervisor.
    3. How to use: This number can be used on a phone app (softphone) or on a Skype for Business IP Phone.
    4. Phonebook: To see the number in the phonebook, please follow procedure for services detailed in KB0001121​, more information about who can update phonebook can be found in KB0000779
  3. Common Area: 
    1. DescriptionThis type of phone numbers is activated on IP Phones located in shared offices, labs, meeting rooms etc. A person can request more than one Common Area phone number.
    2. Life cycle: Once the owner of the number leaves CERN the phone number will be assigned to the supervisor.
    3. How to use: This number can be used ONLY on a Skype for Business IP Phone. It's not possible to use it on a phone app (softphone).
    4. Phonebook: To see the number in the phonebook, please contact appropriate secretariat/service, more information in KB0000779

Operations on phone numbers (Personal phone number and Service phone number)

Note: Operations for Common Area phone numbers are covered on a page dedicated to this type of numbers

Activation

Activate a New Skype For Business Phone Number:

  1. Go to Resources portal choose “Skype for Business service”
    1. Click on “Get a new phone number”
  2. Buy a headset in CERN Store 
  3. To place calls use Skype for Business application on Windows/Mac or Pidgin on Linux

Migrate Legacy Number (Alcatel/Analog) to Skype for Business 

Some users could have already one or more phone numbers associated to them. For this reason there is the possibility to migrate an old phone number to the Skype for Business platform.

Migrate a Old Phone Number to Skype For Business:

  1. Go to Resources portal choose “Skype for Business service”
    1. In case you have a old phone number this will be shown in the page. Pick the number that you desire to migrate an click on "Migrate".
  2. Buy a headset in CERN Store 
  3. To place calls use Skype for Business application on Windows/Mac or Pidgin on Linux 

Deletion

Delete a Skype For Business Phone Number:

  1. Go to Resources portal choose “Skype for Business service”
    1. Click on the "Settings" menu.
  2. Click on "Delete" in the "Number's Operations" panel

When the operation has been completed, the number can not be recoverd. Anyway the user can ask a new number again.

Change the owner

A Phone Number can be assigned to a different user. The target user can be a different user or a service account owned by the primary user.

To change the owner:

  1. Go to Resources portal choose “Skype for Business service”
    1. Click on the "Settings" menu.
  2. In the "Number's Operations" panel insert the name of the target account and click on search.
  3. Select the target account

This operation will require some time because the user who owns that account must confirm or reject the change of the owner
When the operation has been completed, the old user will not have a phone number anymore. The new owner will see the number in the Common Area Section. In case, the target user is a service account owned by the primary user, the Phone Number will be automatically converted to service.

Set A New Pin

To change the Pin for a Phone Number:

  1. Go to Resources portal choose “Skype for Business service”
    1. Click on the "Settings" menu.
  2. In the "Change Settings" panel insert the new pinand click on set.

The Pin will be changed immediately and ta confirmation message will appear on the screen.

Granting world wide rights (done from EDH)

To grant a Phone Number to make world wide calls:

  1. Go to EDH portal, and open Phone Request
  2. Choose "Fixed telephone line modification"
  3. Provide telephone number and Budget Code
  4. Select in the Phone Request World Wide
  5. Send the request

Change Phone Number Type 

From Common Area to Primary

  1. Login to the resources portal using your Primary Account 
  2. Access the Common Area menu in the Skype for Business section in the Resource portal
  3. Click on "See Details" for a given Common Area Phone number
  4. Click on "Convert to Primary"

From Common Area to Service

  1. Login to the resources portal using your Primary Account 
  2. Access the Common Area menu in the Skype for Business section in the Resource portal
  3. Click on "See Details" for a given Common Area Phone number
  4. Search the Service Account using the "Assign phone number to a new user" component
  5. Then click on the Service Account elected for the conversion

From Primary to Common Area

  1. Login to the resources portal using your Primary Account 
  2. Access the Settings menu in the Skype for Business section in the Resource portal
  3. Click on "Convert to Common Area" 

From Primary to Service

  1. Login to the resources portal using your Primary Account 
  2. Access the Settings menu in the Skype for Business section in the Resource portal
  3. Search the Service Account using the "Assign phone number to a new user" component
  4. Then click on the Service Account elected for the conversion

From Service to Common Area

  1. Login to the resources portal using the Service Account associated with the phone number you want to migrate
  2. Access the Settings menu in the Skype for Business section in the Resource portal
  3. Search the Primary Account using the "Assign phone number to a new user" component
  4. Then click on the Primary Account elected for the conversion
