Common Area (shared) phone numbers - operations

Activation

Activate a New Skype For Business Common Area phone number:

  1. Go to Resources portal choose “Skype for Business service”
    1. Click on the "Common Area" menu.
  2. Set the Display Name
  3. Click on “Get a new phone number”

You will receive a notification when the number is activated.

Deletion

Delete a Skype For Business Common Area phone number:

  1. Go to Resources portal choose “Skype for Business service”
    1. Click on the "Common Area" menu.
  2. Pick the number that you want to delete and click on "See details"
  3. Click on “Delete”

When the operation has been completed, the number can not be recovered.

Change the owner

A Common Area phone number can be assigned to a different user. The target user can be a different user or a service account.

To change the owner:

  1. Go to Resources portal choose “Skype for Business service”
    1. Click on the "Common Area" menu.
  2. Pick the number that you want to transfert to the new user and click on "See details".
  3. In the Change Owner field Insert the name of the target account and click on "search".
  4. Select the target account.

This operation triggers a workflow. A person who has been assigned a phone number must approve it.  
When the operation has been completed, the new owner will see the number in the Common Area Section. In case, the target user is a service account owned by the primary user, the Phone Number will be automatically converted to Service phone number.

Set A New Pin

To change the Pin for a Common Area phone number:

  1. Go to Resources portal choose “Skype for Business service”
    1. Click on the "Common Area" menu.
  2. Pick the number for which you want to change the pin and click on "See details".
  3. In the Pin field insert the new pin and click on set.

The Pin will be changed immediately and a confirmation message will appear on the screen.

 

Migration of a shared phone numbers to Common Area

When a number is shared (several people registered in phonebook.cern.ch with the same number) then migration to Skype for Business can be performed only by Service Desk.

Please open a ticket and provide:

  • Phone number
  • Type of the number: Common Area
  • Owner of the number

Information in phonebook will not be updated druing the migration.

 

Granting world wide rights (done from EDH)

To grant a Common Area phone number permissions to make world wide calls:

  1. Go to EDH portal, and open Phone Request
  2. Choose "Fixed telephone line modification"
  3. Provide telephone number and Budget Code
  4. Select in the Phone Request World Wide
  5. Send the request.
