ROLE - Engagement Manager and Deputy for ATS, FHR and RCS

Role

We are looking for one Manager and one Deputy for each of the following Sectors: the Accelerators and Technology Sector (ATS), the Finance and Human Resources Sector (FHR) and the Research and Computing Sector (RCS). The role holders report to the Lead of Engagement for the time they dedicate to the role and are appointed for two years.

Time: between 10% and 30% (depending on the role and the sector)

Goals:

  • Lead engagement with user groups to proactively understand demand, provide guidance, gather feedback on existing services and understand evolving needs
  • Identify shared dependencies across user groups as an input when defining the innovation and projects roadmaps and service enhancements
  • Feed inputs from user groups to collaboratively define innovation roadmap with Functional entities

Manager Functions:

  • Represents IT in technical working groups for designated sectors, building and maintaining a strong relationship
  • Jointly engages IT and designated sectors to establish and maintain multi-annual roadmaps of services and projects
  • Collates feedback on existing services and understands requirements for enhancements / innovations to manage and prioritise demand
  • Provides technical advice and facilitates engagement between designated departments and IT
  • Collaborates with Innovation and Technical Delivery teams to prioritise initiatives in alignment with user needs
  • Engages with other Engagement Managers to manage and align user needs holistically across the organisation
     

Deputy functions:

  • Help and complement Manager duties, with the goal to get experience with the stakeholders and functions of the IT Department and gain awareness of their IT needs
  • Take the notes of the meetings, keep the action list up to date; ensure the notes and the action list are stored and distributed shortly after the meeting
  • Agree with sector representatives on the meeting dates and venues. Reserve rooms, setup video conferencing (if needed), and help the Manager with handling indico
  • Provide assistance to the Manager: specific tasks and follow-up actions might be delegated to the Deputy

We are looking for people with the following profile, demonstrated experience/skills:

  • A member of personnel with preferably at least 2 or 3 years of membership
  • Willing and able to commit to this role for an initial duration of two years
  • Strong interpersonal skills, in particular:
    • Listening, empathy, tact and diplomacy
    • Build relationships based on trust and respect
    • Handle/defuse potentially conflicting situations
  • Ability to see beyond the surface of a problem to the root cause (technical or human)
  • Ability to succinctly summarise problems 
  • Ability to identify further engagement opportunities, thinking out of the box and building on areas of technical expertise
